Q: Would you please provide me with a rough approximate cost for an Aspen Seating system and the accompanying fitting process?
A: The estimated cost of the seating system is derived from the results of the free, no obligation evaluation to determine which Aspen seating system is indicated and what accessories you need. We provide several different seating systems, and the average MSRP (Manufacture's Suggested Retail Price) can range from $1,200 - $9,500 depending on which seating system and what components are required to best support your needs. There is no separate cost for the fitting process. The cost includes a one to three year warranty, which covers adjustments for reasonable growth and change.

Q: Does the cost include travel and accommodations?
A: No. However, as a service to our clients, we contract with two local hotels that give our clients and their families discounted rates. We may be able to refer you to other services required during your visit such as accessible transportation.

Q: Could you please describe the process for obtaining Aspen Seating's products and services and how long it takes?
A: Aspen Seating provides their products and services through rehabilitation technology suppliers. When possible, we attend the initial evaluation with you to determine if an Aspen Seating system is appropriate and generate the documentation to justify it to your insurance provider. If a "hands-on" evaluation is not possible for our out-of-state clients, we have worked successfully with local physical/occupational therapists, and/or other care providers to generate our estimate and letter of medical necessity. The rehabilitation technology supplier then submits the documentation with a quote to your insurance provider for a prior authorization. Upon approval from the funding source, the rehabilitation technology supplier issues us a purchase order. At that point you will be contacted to schedule your fitting. The actual time you spend at our clinic is dependent on your specific needs and the type of system being provided. It may require as little as two appointments over a two or three day period, to multiple appointments over a longer period. If you are visiting us from out of state, you may be asked to stay in the Denver area for two weeks to ensure the system is working perfectly before you leave our direct care. Individuals within driving distance to one of our facilities will typically be involved in a 2-3 day fitting process.

Q: I don't have insurance, or my insurance does not cover rehabilitation equipment. How can I access Aspen Seating services?
A: You may be able to access us directly if you are paying with cash or credit card. We do not bill insurance or other third party payers. Contact us to determine if your situation will permit direct access to our services.

Q: How can I be sure that my new Aspen Seating system will continue to meet my needs over time?
A: Aspen Seating has the most comprehensive warranty program in the wheelchair seating industry. All of our seating systems can be adjusted to accommodate changes in your condition, and any such adjustments are included in your initial warranty period. Depending on the system provided, your system will be covered by our warranty for one to three years. We work closely with you to ensure continued success with your seating system. Follow-up is initially conducted through a phone call to make certain the seating system is working optimally. We will then contact you upon the one year anniversary (six months for some cases) of the delivery of your system to schedule a re-evaluation. We continue to follow-up at regular intervals. Significant change in your physical condition that is beyond the adjustability of your system would justify a replacement. You are encouraged to contact us at any time you need attention, regardless of the status of your warranty. Recognizing that our program includes on-going care will assist you in planning for travel and accommodations if necessary to care for your seating needs.

Q: Does your warranty include system covers/upholstery?
A: No. Typically, Aspen Seating systems require new upholstery or covers as well as replacement of some of the soft goods within your system on a twelve to eighteen month interval. This is called a system refurbishment and is typically covered by insurance. Frequency of these services depends primarily on the level of care you take in maintaining your Aspen Seating system. Refurbishments and adjustments can typically be accomplished within a single day. Your physical presence for these adjustments and refurbishments may be necessary to ensure the system is working correctly. If upon a follow-up call we confirm the fit of your system is excellent, with no signs of skin redness, discomfort, etc. it could be possible to send the system to us for refurbishment, but that would leave you without your system for a number of days. Refurbishment costs do not include shipping and handling.

Q: How long does an Aspen Seating system last on average?
A:. We replace less than 3% of our systems at the three-year mark. The majority of those three-year-old systems have had only one refurbishment. The systems that have been replaced are equally divided between replacement due to significant change in physical status, and replacement due to neglect, abuse, or avoidable damage. Many factors can influence how long the system will last.

Q: I have several wheelchairs. Can I use my Aspen Seating system in all of them?
A: Probably. Again, this will depend on which seating system is delivered. One of our systems would require the wheelchairs to be exactly the same in measurement. The majority of our seating systems are easily transferable between multiple mobility bases (wheelchairs) of varying sizes at minimal additional cost. Many Aspen Seating customers use their seating systems in multiple wheelchair and out-of-wheelchair settings. Our systems are lightweight and easy to remove and install.

Q: If I get a new wheelchair, will I need a new Aspen Seating system.
A: Probably not. There will most likely be some cost in transferring the Aspen Seating system on to your new wheelchair, but rarely does it require complete replacement. Many of our customers time the purchase of their new wheelchairs around the refurbishment of their Aspen Seating system. This allows us to perform the simple modifications necessary, and give your Aspen Seating system a fresh new look and feel with minimal additional cost.
